Refund & Cancellation Policy

Transparent and reliable terms for your journey with HIMVANTA EXPERTISE.

Expert-guided Himalayan travel from Srinagar Garhwal

At HIMVANTA EXPERTISE, we aim to provide transparent and reliable travel services. Our refund and cancellation policy applies to tour packages, trekking packages, transportation, accommodation, and other services booked through us.

1 Booking & Advance Payment

  • A booking is confirmed only after the required advance payment is received.
  • The advance amount may be used to secure hotels, vehicles, permits, guides, activities, and other travel services.
  • Any non-refundable amount paid by HIMVANTA EXPERTISE to third-party suppliers will be deducted from the refund.

2 Cancellation by Customer

More than 30 days before departure

Refund will generally be provided after deduction of applicable booking and administrative charges.

15–30 days before departure

Up to 50% of the booking amount may be refundable, subject to supplier cancellation rules.

7–14 days before departure

Up to 25% of the booking amount may be refundable, subject to actual losses and supplier policies.

Less than 7 days before departure

The booking may be non-refundable, depending on the services already booked and the cancellation policies of hotels, transport providers, guides, permits, and activity operators.

No-show

No refund will normally be provided if the customer does not report for the trip without prior notice.

3 Cancellation by HIMVANTA EXPERTISE

If HIMVANTA EXPERTISE cancels a trip due to circumstances within the company’s control, the customer will be informed and the applicable refundable amount will be processed.

Circumstances Beyond Reasonable Control

If cancellation occurs because of circumstances beyond reasonable control—such as severe weather, natural disasters, road closures, government restrictions, strikes, or other force-majeure events—the refund will depend on the amounts recoverable from hotels, transport operators, activity providers, and other suppliers.

4 Date Change / Rescheduling

Customers may request a change of travel date. Rescheduling is subject to availability and may involve additional charges imposed by hotels, transport providers, permits, or other suppliers.

5 Trek & Adventure Packages

For trekking and adventure packages, permits, guides, transport, accommodation, and other services may have separate cancellation conditions.

Any amount already paid to third-party suppliers and marked non-refundable may be deducted from the customer’s refund.

6 Refund Processing

Approved refunds will be processed to the original payment method wherever practical. Processing time may vary depending on the payment provider and third-party suppliers.

7 Important Terms

  • Cancellation requests must be submitted through an official HIMVANTA EXPERTISE communication channel.
  • The cancellation date will be considered the date on which the written cancellation request is received.
  • Refund calculations are based on the actual services booked and cancellation charges applicable at the time of cancellation.
  • Any special cancellation conditions mentioned in the customer’s quotation, invoice, or package confirmation will take precedence for that particular booking.

8 Customer Responsibility

Customers are responsible for providing correct booking and contact information and for reviewing the itinerary, inclusions, exclusions, and cancellation terms before making payment.
